01

Understand the role

What matters most

  • Find and define valuable AI use cases

The role leads discovery with UNC System Office divisions, identifies high-value opportunities, and translates business needs into project plans and technology requirements.

  • Move solutions from evaluation to measurable pilots

The role evaluates emerging AI technologies, supports tool and workflow design, testing and deployment, coordinates proofs of concept, and helps departments measure outcomes and improve solutions.

  • Improve processes without compromising controls

Current- and future-state process analysis must lead to useful automation or workflow recommendations while maintaining compliance and data integrity.

  • Embed responsible AI governance

The role works with IT and governance stakeholders on secure, ethical AI use, institutional policies, regulatory requirements, and enterprise standards and documentation.

  • Coordinate delivery and staff adoption

Cross-functional initiatives require tracking milestones, risks and dependencies, while training, documentation, communications and coaching help staff adopt tools responsibly.

Likely challenges to think through

  • Balancing usefulness with safeguards

Preparation hypothesis: A promising AI use case may offer efficiency gains but raise privacy, security or data-integrity concerns. Prepare an example of how to define the value, involve appropriate governance partners, and adjust the scope before a pilot.

  • Aligning divisions with different needs

Preparation hypothesis: Work across Finance, HR, Legal, IT and other units may create competing priorities and dependencies. Prepare a way to show how you would facilitate decisions, document requirements and risks, and keep multiple initiatives moving.

  • Turning a pilot into sustained improvement

Preparation hypothesis: A technically workable pilot may not improve operations if outcomes are unclear or staff do not adopt it. Prepare an approach that pairs a baseline and success measures with user feedback, training and iteration.

Sharpen your knowledge

Topics to prepare

  • AI use-case selection

Review how to assess an AI opportunity for service improvement, operational value, feasibility and risk. Exercise: compare two hypothetical requests from System Office units and explain which merits a discovery session first. The role identifies high-value use cases across departments.

  • Business process analysis and continuous improvement

Review current- and future-state processes, bottlenecks, automation opportunities and data integrity. Exercise: sketch how an approval workflow might change with AI assistance while retaining a human review step. Process improvement is an essential duty; Lean, Six Sigma and Business Process Management are preferred knowledge, not required methods.

  • Responsible AI and governance

Review privacy, security, ethical use and compliance considerations without assuming any particular institutional policy. Exercise: list questions to take to IT and governance stakeholders before a pilot uses departmental information. The posting calls for collaboration on policies, regulatory requirements and standards.

  • Project and change management

Review milestones, risks, dependencies, stakeholder communication and adoption planning. Exercise: outline the phases and decision points for a small cross-functional AI pilot. The role coordinates multiple initiatives and supports Agile or other appropriate approaches.

  • Enterprise AI platform evaluation

As preferred-qualification preparation, compare the kinds of business workflows Microsoft Copilot, ChatGPT Enterprise and Microsoft Power Platform might support; do not assume the employer has deployed them. Exercise: write a short comparison of two options against a hypothetical unit's needs, testing needs and governance questions. The posting names platform familiarity as preferred and asks the partner to evaluate emerging technologies.

Skills to revise

  • Facilitate discovery and capture requirements

Practice a 20-minute mock session with a Finance or HR stakeholder: elicit the current problem, users, constraints and desired outcome, then write a brief problem statement and technology requirements. The role leads discovery and translates business needs into plans.

  • Document a workflow

Draw a current-state process with handoffs and data inputs, then a future-state version showing an AI-assisted step and its review point. Note where compliance or data integrity could be affected. The posting explicitly calls for both process states and improvement recommendations.

  • Coordinate and measure a pilot

Draft a one-page proof-of-concept plan with scope, owners, milestones, dependencies, risks, test cases and two outcome measures. This rehearses the role's pilot coordination, project tracking, testing and continuous improvement duties.

  • Explain AI use to non-technical staff

Create a short user guide and a two-minute explanation of a hypothetical AI-assisted workflow, including when staff should verify an output. The role develops training and documentation, coaches staff and translates technical concepts for non-technical audiences.

  • Communicate an adoption plan

Draft a stakeholder update announcing a hypothetical pilot, its purpose, what changes for users, how feedback will be collected and the next decision point. The posting calls for cross-department communication, change management and user adoption.

04

Your preparation checklist

  • Map your evidence to the role

Prepare a one-page matrix linking the stated education and experience requirement, cross-department collaboration, facilitation, process analysis, project coordination, and change management to specific examples you can discuss. Mark preferred experience separately.

  • Rehearse a relevant project walkthrough

Prepare one example showing the business problem, stakeholders, your role, decisions, deliverables, outcome, and lessons learned. If you have AI-enabled or public-sector work, explain its relevance without implying it was required.

  • Practice a discovery session

Draft questions you would ask a UNCSO division about its workflow, service goals, constraints, stakeholders, and potential AI use cases. Prepare a short summary that turns the answers into a proposed problem statement and requirements.

  • Sketch a process-improvement exercise

Using a clearly hypothetical administrative workflow, draw current- and future-state steps. Identify a possible automation opportunity and explain how you would check compliance and data integrity before recommending it.

  • Outline a responsible AI pilot

Create a brief pilot plan with a testable use case, success measures, testing approach, milestones, dependencies, and risks. Include questions for IT and governance stakeholders about security, privacy, policies, and ethical use.

  • Prepare an adoption artifact

Draft a short, plain-language staff guide or training outline for a hypothetical AI-enabled workflow. Show how you would explain appropriate use, gather feedback, and revise the guidance after a pilot.

  • Bring questions for the employer

Ask how UNCSO divisions prioritize AI opportunities, what governance review applies to pilots, how outcomes are measured, and what support exists for training and adoption. These are questions to clarify the role, not assumed processes.
