01
Understand the role
What matters most
Alignment with Existing Runbook
The primary objective is to automate the current manual quotation assessment process. You must prioritize understanding the existing business runbook, decision criteria, and expected outputs to ensure the AI solution functions within established operational parameters rather than attempting to redesign the process.
Practical Prototyping and Iteration
The role emphasizes hands-on delivery over theoretical research. You must be prepared to build functional prototypes using Python and AI/LLM technologies, then refine them through rapid feedback cycles with Tactical Buyers to ensure the tool is usable and provides measurable efficiency gains.
Stakeholder Collaboration and Documentation
Success depends on translating business requirements into technical specifications and documenting all design choices, limitations, and governance recommendations. You must actively engage with cross-functional teams to validate performance metrics and prepare the solution for potential scaling.
Likely challenges to think through
Balancing AI Accuracy with Business Risk
Automating the assessment of supplier quotations involves identifying commercial risks and inconsistencies. The challenge lies in ensuring the AI model maintains high accuracy and consistency to avoid missing critical deviations, which requires rigorous testing against historical data and careful validation of the output.
Navigating Data Confidentiality and Security
Working with real supplier quotations requires strict adherence to information-security protocols. You must demonstrate the ability to handle sensitive business data responsibly while building and testing your AI solution, which may limit the types of tools or external environments you can utilize.
Translating Ambiguous Business Needs into Technical Logic
Bridging the gap between a manual, human-centric runbook and an automated AI workflow can be difficult. You will need to effectively interview Tactical Buyers to extract the nuances of their decision-making process and convert those subjective criteria into objective, functional requirements for the prototype.
03
Practice your answers
Technical practice
Designing AI for Document Analysis
What to coverExplain your approach to building a system that extracts and interprets data from unstructured supplier quotations. Discuss how you would handle varying document formats and ensure the AI accurately maps content to predefined runbook criteria.
LLM Integration and Prompt Engineering
What to coverDescribe how you would leverage Large Language Models to identify inconsistencies or commercial risks in procurement documents. Focus on techniques for ensuring the model adheres to specific business logic rather than hallucinating information.
Validating AI Performance
What to coverHow would you define and measure success for an AI-supported quotation assessment tool? Suggest specific metrics beyond simple accuracy, such as consistency, time savings, and user-perceived usability.
Handling Confidential Data
What to coverWhat technical and procedural steps would you take to ensure sensitive supplier data remains secure during the development and testing phases? Address the importance of data privacy in an enterprise environment.
Prototyping and Iterative Development
What to coverDescribe your process for building a functional prototype that allows for rapid feedback from stakeholders. Explain how you manage the transition from a proof-of-concept to a pilot-ready solution.
Python for Data Processing
What to coverDiscuss your experience using Python libraries for data manipulation or natural language processing. Provide an example of how you have used these tools to automate a manual data-heavy task.
Comparing Multiple Data Sources
What to coverHow would you design an algorithm or logic to compare quotations from different suppliers? Address the challenge of normalizing data when suppliers use different terminology or structures.
Scaling and Governance
What to coverWhen preparing a recommendation for scaling an AI solution, what governance factors must be considered? Discuss how you would document limitations and dependencies to ensure the tool remains reliable as it moves into production.
Behavioural practice
Translating Business Needs to Technical Specs
What to coverDescribe a situation where you had to translate a non-technical stakeholder's requirements into a technical solution. How did you ensure your interpretation matched their expectations?
Managing Stakeholder Feedback
What to coverTell me about a time you received critical feedback on a project you were building. How did you incorporate that feedback into your next iteration while staying focused on the project goals?
Working Independently in a Team Environment
What to coverThis role requires both independent work and close collaboration with Tactical Buyers. Give an example of how you balance self-directed research with the need to seek input from others.
Handling Ambiguity in Projects
What to coverDescribe a time you were given a broad business challenge without a clear technical roadmap. What steps did you take to define the scope and start delivering value?
02
Sharpen your knowledge
Topics to prepare
Requirements Engineering for AI Solutions
The role requires translating business runbooks into functional and technical specifications. Exercise: Practice mapping a manual process (e.g., invoice processing or document review) into a structured workflow, identifying specific decision criteria that an AI model would need to evaluate.
AI Model Evaluation and Validation
You must validate performance metrics like accuracy and consistency. Exercise: Research standard evaluation frameworks for LLM-based document extraction, such as precision/recall for information retrieval or RAG-based evaluation metrics, to prepare for discussing how you would measure the success of your prototype.
Data Governance and Confidentiality
Handling confidential supplier data is a core requirement. Exercise: Review best practices for data anonymization and secure handling of sensitive business documents when using LLMs, focusing on how to maintain security while training or testing prototypes.
Skills to revise
Python for AI Prototyping
You will build functional prototypes using Python. Exercise: Develop a small script that uses a library like LangChain or LlamaIndex to extract specific data points from a sample PDF document and compare them against a predefined set of rules.
Generative AI and LLM Integration
The role involves using LLMs to analyze quotations. Exercise: Experiment with prompt engineering techniques to improve the model's ability to identify inconsistencies or missing information in unstructured text, ensuring the output matches a standardized format.
Technical Documentation and Presentation
You must document design choices and present to management. Exercise: Draft a one-page technical summary for a hypothetical project that outlines the problem, the chosen AI approach, key assumptions, and the rationale for your design decisions.
04
Your preparation checklist
Analyze the Procurement Use Case
Research standard procurement quotation assessment workflows. Prepare to discuss how you would translate manual, rule-based document review processes into technical requirements for an AI-driven automation tool.
Prepare a Technical Project Walkthrough
Select a past project where you built an AI or machine learning prototype using Python. Be ready to explain your choice of libraries, how you handled data preprocessing, and how you validated the model's performance against real-world constraints.
Demonstrate Generative AI and LLM Proficiency
Review your experience with LLMs and prompt engineering. Prepare to discuss how you would approach document extraction, summarization, and risk identification tasks while maintaining data privacy and security standards.
Formulate Questions for Stakeholders
Prepare questions regarding the existing quotation assessment runbook, the specific data formats you will be working with, and how the team currently measures the success of their procurement processes.
Develop a Strategy for User Feedback Loops
Outline your approach for incorporating feedback from non-technical business users into your development cycle. Explain how you would balance technical accuracy with usability to ensure the tool is adopted by Tactical Buyers.
