01

Understand the role

What matters most

  • Strategic Automation Prioritization and ROI

The role requires identifying and vetting automation and AI opportunities across the Private Assets estate. You must demonstrate the ability to perform rigorous cost-benefit analysis, ensuring that only high-impact initiatives are pursued and that you have the commercial judgment to halt projects that fail to deliver expected value.

  • End-to-End Solution Ownership and Adoption

Success is defined by the actual adoption of solutions within the business, not just technical deployment. You must ensure that automation is reusable, supportable, and integrated into daily operations, maintaining accountability from the initial design phase through to long-term operational stability.

  • Governance, Risk, and Control Integration

As you implement AI and automated workflows, you must establish robust governance frameworks. This involves partnering with Risk and Control offices to ensure that automated processes maintain compliance and operational integrity, particularly when handling sensitive financial data.

  • Cross-Functional Leadership and Mentorship

You will lead a team that includes rotational business colleagues. You must effectively mentor these individuals, manage stakeholder expectations across IT and the Transformation Office, and coordinate with Tactical Operations to scale successful pilots into global, firm-wide standards.

Likely challenges to think through

  • Balancing Innovation with Operational Stability

The challenge lies in introducing AI and automation without disrupting core fund administration services. Prepare by discussing your experience in managing change in high-stakes environments where operational continuity is non-negotiable and how you mitigate risks during transition periods.

  • Navigating Complex Stakeholder Landscapes

You must align multiple departments, including IT, the Transformation Office, and business operations, which may have competing priorities. Prepare by highlighting your experience in negotiating resources and timelines while maintaining a unified vision for digital transformation.

  • Scaling Local Solutions to Global Standards

Moving from a 'one-off' local fix to a reusable, global solution is a core requirement. Prepare to discuss how you evaluate the scalability of a tool early in the development lifecycle and how you enforce standardization across diverse regional teams.

Practice your answers

Technical practice

Evaluating Automation vs. AI Suitability

What to coverExplain your framework for determining whether a process requires simple workflow orchestration, traditional automation tooling, or AI-driven solutions. Focus on criteria such as data structure, volume, complexity, and the potential for exception-based processing.

Private Assets Process Knowledge

What to coverDescribe your experience with private assets operations and how you identify which specific workflows are genuinely automatable. Discuss how you balance technical feasibility with the operational realities of fund administration.

Establishing AI Governance and Controls

What to coverHow do you design governance frameworks for AI-assisted processes to ensure compliance and risk mitigation? Address how you collaborate with Risk and Control offices to maintain oversight while enabling innovation.

Benefit Realization and Measurement

What to coverDetail your methodology for defining and measuring the success of a digital transformation initiative before implementation begins. Explain how you track these metrics post-deployment to ensure the business case is realized.

Ensuring Scalability and Reusability

What to coverHow do you ensure that automation solutions are reusable and supportable across a global estate rather than becoming one-off local fixes? Discuss your approach to setting deployment standards.

Managing Exception-Based Processing

What to coverExplain your strategy for handling exceptions in automated workflows. Discuss how you design systems to manage the 'long tail' of complex, non-standard transactions that often fall outside of standard automation logic.

Budgeting and Resource Planning

What to coverDescribe your experience managing budgets for large-scale digital transformation projects. Explain how you justify the cost-benefit analysis to senior stakeholders and manage resource allocation across multiple workstreams.

Stakeholder Negotiation in Transformation

What to coverHow do you negotiate with IT, the Transformation Office, and business operations to align on project priorities? Provide insight into how you manage competing interests while maintaining a focus on long-term strategic goals.

Behavioural practice

Driving Adoption Beyond Go-Live

What to coverDescribe a situation where you led a transformation initiative that faced resistance during the adoption phase. Explain the actions you took to ensure the change 'stuck' and the final outcome for the business.

Stopping Non-Viable Projects

What to coverProvide an example of a time you identified that a project would not deliver the expected return on investment. How did you communicate this to stakeholders and what was the result of your decision to stop or pivot the work?

Mentoring and Leading Rotational Talent

What to coverShare an experience where you mentored team members or rotational staff from the business. How did you balance their development needs with the requirement to deliver high-impact operational change?

Navigating Global Operational Challenges

What to coverDescribe a time you had to design a solution that needed to scale across different regions or jurisdictions. How did you account for local nuances while maintaining a global, standardized operating model?

02

Sharpen your knowledge

Topics to prepare

  • Benefit Realization Frameworks

The role requires defining success metrics before project initiation and reporting on realized benefits. Exercise: Draft a post-implementation review template that maps specific automation outcomes to financial or operational KPIs, ensuring you can articulate how you measure 'stickiness' and adoption in a financial services context.

  • Governance and Control in AI-Assisted Processes

You must establish controls for AI-driven workflows. Exercise: Review standard risk management frameworks for automated financial processes. Prepare to discuss how you balance the need for innovation with the strict control requirements inherent in private assets operations.

Skills to revise

  • Workflow Orchestration and Exception Management

The role demands practical knowledge of managing exceptions in automated environments. Exercise: Create a process map for a complex private asset lifecycle event, identifying where manual intervention is typically required and proposing how workflow orchestration tools can handle these exceptions to minimize human touchpoints.

  • Stakeholder Negotiation for Transformation

You will need to negotiate with IT, the Transformation Office, and business leaders. Exercise: Develop a pitch for a hypothetical automation project that includes a cost-benefit analysis, a clear roadmap for adoption, and a strategy for addressing resistance from operational teams who may be wary of process changes.

  • Strategic Business Planning and Budgeting

The role requires managing the automation agenda and budget. Exercise: Build a high-level 12-month strategic plan for an automation department, including resource allocation, prioritization criteria for 'buy vs. build' decisions, and a method for reporting progress to senior leadership.

04

Your preparation checklist

  • Prepare a portfolio of end-to-end automation deployments

Curate 2-3 case studies from your experience in private assets or financial services. Focus on projects where you led the transition from design to full adoption, specifically highlighting how you measured benefit realization and ensured the solution was reusable rather than a one-off fix.

  • Develop a framework for evaluating automation versus AI

Create a brief document or presentation outlining your methodology for determining the optimal approach for a business problem. Include criteria for choosing between simple workflow orchestration, automation tooling, or AI, and explain how you assess the 'effort versus benefit' to decide when to stop or pivot a project.

  • Draft a strategy for AI governance and risk control

Prepare a summary of how you have previously established governance frameworks for automated or AI-assisted processes. Focus on your experience collaborating with Risk and Control functions to ensure that automated solutions remain compliant and supportable within a regulated financial environment.

  • Formulate questions regarding Citco's current operational landscape

Prepare thoughtful questions for the interviewers about the current maturity of their Private Assets operations, the primary bottlenecks in their existing workflow, and how they currently balance the needs of the Transformation Office with the requirements of Tactical Operations.

  • Refine your leadership and mentorship narrative

Prepare examples of how you have led diverse teams, specifically focusing on your ability to mentor rotational colleagues who may have different levels of technical expertise. Be ready to discuss how you maintain team alignment on long-term transformation goals while managing day-to-day project delivery.
